Interpreting prepared around your meeting and subject
Language support for business meetings, technical training, site visits and events, with preparation matched to the agenda and setting.
Match the format to the meeting
A negotiation, training session and site visit place different demands on communication. Explain the purpose, languages, number of participants and whether the work is on site or online.
The interpreting format, staffing and equipment should be agreed after reviewing the agenda. Travel, preparation and the translation of supporting documents should be identified as separate scope items where relevant.
Prepare subject knowledge and terminology
Agendas, presentations, product information and a terminology list help an interpreter prepare. For technical work, include equipment names, procedures and any safety instructions needed to access the site.
Provide the materials early enough for preparation and identify a contact who can clarify specialist terminology. Confidential information should be shared under agreed access conditions.
Coordinate the session
Clear speaking turns and a realistic agenda improve communication. In an online meeting, confirm the platform, audio setup, participant permissions and any interpreting features in advance.
If the programme changes, notify the coordinator promptly. Additional sessions or topics may affect the preparation needed and should be agreed rather than assumed.
Confirm the booking
Share the date, location, expected duration and subject area when requesting a quote. Availability and timing must be confirmed with Tri Viet before the event is considered booked.
Agree the responsibilities of the organiser, interpreter and technical team, including equipment, access and the delivery of reference material.
What to include in your enquiry
Send the complete source or a representative sample, the source and target languages, and the intended use. Identify the current file versions and any passages that are outside the translation scope.
Add your deadline, preferred delivery format and approved reference material. If the work involves layout, confirmation, testing or another additional task, state it explicitly so the quotation covers the required output.
Questions before you begin
Can you interpret a technical training session?
We can review the request based on the languages, subject, schedule and available reference material. Provide the agenda and technical documents so preparation and suitability can be assessed.
How is the price calculated?
The quote depends on the language pair, source volume, specialist subject, file quality, formatting and requested delivery. Send the actual material so these factors can be assessed.
Can I request a specific deadline?
Yes. State when you need the translation and share the complete source. Availability and delivery timing are confirmed after reviewing the scope; an enquiry alone does not confirm a booking.
How should I share confidential documents?
Discuss confidentiality, access and any required agreement with the team before sending the complete sensitive material. A non-sensitive sample can help begin the scope discussion.
Discuss your requirements with Tri Viet
Send your source files or describe the work, language pair and deadline. We will review the scope before confirming the quotation and delivery arrangements.
